The Challenge

The Department of Commerce wanted to develop an electronic data management system to replace DoC’s legacy systems including Lotus Notes, iManage, and document file shares. The DoC needed a centralized location to store documents, group discussions, share calendars, list information, and manage workflows.

Our Insight

DMI helped define the Electronic Data Management System (EDMS), a web-based collaboration portal built on Microsoft’s SharePoint technology.

DMI developed an application using a Waterfall approach to define requirements, design, develop, and test as well as perform customer reviews, quality gates, and migration activities. We support 14-17 databases, averaging ~ 1GB. The EDMS system had 17 test scripts performed and is a medium complexity system.

DMI was responsible for all phases of design, development, and system testing of the EDMS application. DMI used its software development life cycle as a best practice for this phase of the project. We determined the best design of the solution based on approved customer requirements. Once the design had been approved, the team developed and tested the site. All system test defects were closed prior to the customer performing its user acceptance testing of the solution, which included the testing of migrated data. We developed an Iterative approach to include definition of requirements, design, development, testing, and migration activities. Time was also built into the schedule for customer reviews and quality stage gates to ensure the project remained on schedule and was meeting customer expectations.

DMI documented the target solution in the form of requirements and design. System test scripts and migration test scripts were developed to test the solution and migration. During the migration process, DMI provided several reports to customers. One report identified any potential issues that could arise during migration and possible remedies to those issues. Additional reports identified the number of records that were in the legacy system and the number of records that migrated to the new system. Weekly status reports were also provided to show project progress. After each Lotus Notes database was migrated and the customer provided final acceptance of the system, DMI informed the Lotus Notes database owner who then retired and archived the system. Even after the system had gone live for each customer, DMI continuously worked with the customer to address questions and ensure that they understood how their existing business processes were impacted and improved.

Results

DMI built SharePoint sites for 17 Department of Commerce customers, some of which were customized using .Net and integrated with K2 and Nintex technologies for workflow management. DMI migrated six Lotus Notes databases, 14 file shares, and two iManage databases.

The interactive data tables (iTable) application provides a uniform way to tap into BEA data, by providing a common look and feel for all users accessing national, international, regional and industrial statistics.

With this application now:
The interactive data tables are robust and offer visually appealing interactive charting features.
It is easy and simple to create, customize, and modify tables and create custom charts.
It is much easier to download data to files, print, and save queries.
Sharing the data – the tables and chart, with others via social media is a breeze now.
